Please note: No personal information (including photos where an individual is recognisably depicted) will be published on this website without explicit permission from the member or visitor concerned.

1. Purpose of this Privacy Notice
This notice sets out why we collect personal information about individuals and how we use that information. It explains the legal basis for this and the right you have over the way your information is used.

 2. Data controller

 3. How do we process your personal data?
Willesborough Baptist Church is committed to protecting personal data and respecting the rights of our data subjects (i.e. the people whose personal data we collect and use). We value the personal information entrusted to us and we respect that trust by complying with relevant laws and adopting good practice.
We use personal data for the following purposes: -

  • To administer membership records;
  • To communicate with members and attendees about news, events, activities and services held at or by Willesborough Baptist Church;
  • To provide pastoral care;
  • To provide services for the benefit of the public;
  • To safeguard children, young people and adults at risk;
  • To safeguard the health of individuals taking part in activities run by the church;
  • To recruit, support and manage our employees and volunteers;
  • To fundraise and promote the interests of the charity;
  • To maintain our own accounts and records (including the processing of Gift Aid applications).

4. What is the legal basis for processing your personal data?
  • Processing is necessary for the purposes of the legitimate interests of Willesborough Baptist Church in the coordination of its normal activities.
  • Explicit consent is received for the processing of health data, for the publishing of personal data (e.g. in the church directory), for sharing personal data outside of Willesborough Baptist Church, and for direct marketing related to certain events and activities;
  • Processing is necessary for the performance of a contract;
  • Processing is necessary for carrying out legal obligations, for example, in relation to Gift Aid, or under employment, social security or social protection law, or a collective agreement;
  • Processing is carried out in the course of legitimate activities by a not-for-profit body with a religious aim provided: -
    • the processing relates only to members or former members (or those who have regular contact with it in connection with those purposes); and
    • there is no disclosure to a third party without consent. 
5. Sharing your personal data 
Your personal data will be treated as confidential and will only be shared with other members and regular attendees of the church in order to carry out a service to other church members or for purposes connected with the church. We will only share your data with third parties outside of the church with your consent or if there is legal requirement to do so.

6. How long do we keep your personal data? 
We keep data in accordance with the guidance set out in GDPR and with our data retention schedule.

We will only keep data for as long as a person is connected with Willesborough Baptist Church unless there is a requirement to retain it for longer.  

7. Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -

  • The right to request a copy of your personal data which Willesborough Baptist Church holds about you;
  • The right to request that Willesborough Baptist Church correct any personal data if it is found to be inaccurate or out of date;
  • The right to request that your personal data be erased where it is no longer necessary for Willesborough Baptist Church to retain such data;
  • The right to withdraw your consent to the processing at any time;
  • The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request that a restriction be placed on further processing;
  • The right to object to the processing of personal data, (where applicable);
  • The right to lodge a complaint with the Information Commissioners Office.
